What personal data do we collect and why do we collect it?

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to check if you are registered there. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Other visitors to the website could download and extract any embedded data from images on the website.

Contact forms

When visitors submit a contact form the information in the form along with the IP address and browser agent are sent via email to the website administrator. The information is not stored or retained except for that which exists in the email system and will only be used for the purposes of generating an email reply if necessary.

Who do we share your data with?

We do not share data with any other party.

How long do we retain your data?

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users who register on the website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their own personal information at any time (except they cannot change their username). Be aware that website administrators can also see and edit that information.

What rights do you have over your data?

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You may also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes and data that may have been harvested from the website by search engines which are beyond our control.

Where we send your data

Visitor comments may be checked through an automated spam detection service which discards entries identified as spam, these comments are neither monitored or published.

Your contact information

Your email address is the only piece of information that could be used for contact unless you include other information within the post or comment. We do not monitor the information embedded in the post or comment entries and we discourage you from including any personal information which may be used to identify and/or locate individuals.

How do we protect your data?

The web site and servers are maintained behind a functioning firewall and the security system is monitored continually. We have automated features which prevent unauthorised access and strict use of complex passwords is mandatory. A 2-factor authentication feature is also available and you are encouraged to use this.

The site uses HTTPS connections which means that the information passed between your browser and the server is encrypted in both directions for security. This Wikipedia article explains further.

What data breach procedures we have in place?

As with all computer systems connected to the Internet, data security is a constant risk with ever more elaborate hacking procedures being evolved daily. The software and server environment are updated with the latest security patches as these become available. It is important to understand that while every effort is made to keep the system secure, due to the nature of the software being used, it is impossible to give an absolute guarantee.
